The client
A first-class English county cricket club, Yorkshire County Cricket Club and Yorkshire Cricket Foundation employ over 150 permanent employees as well as a casual staff base with varied working patterns.
Norton Loxley were approached to support them with the selection and implementation of a HRIS (Human Resource Information System).
The challenge
Yorkshire Cricket Club and Yorkshire Cricket Foundation required a HR system to centralise and streamline their HR and payroll processes, improve oversight of HR data and enable improved reporting on key HR information.
The system needed to accommodate the diverse range of roles and working patterns present within the organisations as well as providing a user-friendly solution to employees whilst also integrating with other key functions including finance and payroll.
With much of the work being done by the organisation being seasonal in nature, and with functionality and integration of the needs of the HRIS HR Software being driven by multiple stakeholders, a key requirement of the project was to ensure these requirements were reflected in the chosen solution.
Our solution
Our initial focus on the project was to identify the scope for the system which encompassed a set of core requirements as well as additional desirable features which would further enhance the use of the system. This involved engaging with multiple stakeholders across all levels and teams within the organisations to understand the requirements for the new solution.
Following the scoping phase, we undertook a detailed analysis of current HR systems on the market to identify appropriate options in line with the needs and budget of the client.
Having identified a number of suitable systems, we presented a short list and evaluation of each system before a final preferred option was chosen by the client.
With the chosen system in place we guided the two entities through the full implementation and set up process, working closely throughout with the internal HR team. This included guidance on collecting and importing accurate data, ensuring the system was customised to the needs of the organsiation and full training provided to the relevant employees. Finally, the HR system went through a testing and troubleshooting process before being rolled out to all staff.
The results
The entire scoping, evaluation and implementation of the HR system was successfully completed within a 10 week period. Regular project meetings were held throughout to ensure the project remained on track, configuration support was provided and any issues flagged and resolved promptly with the chosen HRIS provider.
With the system now in place, Yorkshire County Cricket Club and Yorkshire Cricket Foundation have all employee records and HR processes centralised and digitalised, saving the HR teams valuable time spent on administration. They also have oversight of HR data and accurate reporting is available on key HR information for senior management, as well as a being a user-friendly system for employees to access from either mobile or desktop.
The project was completed within the timescales set by the client and within budget.
